Evaluate the daily handoff between store records, payouts and the books. Use three current provider examples and a practical review checklist.
Start with the work your bookkeeper needs to do
Describe a normal day in the store and how its records reach the books. Include cash sales, card payouts, returns, fees, gift cards where applicable and supplier bills. Ask your accountant which records and accounting treatment your business needs.
The SBA’s business-management guidance covers bookkeeping, financial statements and getting professional help. Use that foundation to define the work before comparing software. This guide is general software-evaluation information, not accounting or tax advice.
Three provider examples to investigate
These are starting points for a demonstration, not a ranking or a tested Taply integration list. The descriptions below reflect the providers’ U.S. product pages reviewed on October 9, 2026. Plans, availability and included features can change; confirm the current package directly with each provider.
| Provider | Described on its official site | Ask in your demonstration |
|---|---|---|
| QuickBooks Online | Bank and card transaction syncing, income and expense tracking, reports | Which plan supports your inventory and user needs, and how will store payouts reconcile? |
| Xero | Invoicing, expenses, bank reconciliation and reporting | Can your accountant trace each store summary through to the corresponding bank activity? |
| Zoho Books | Purchases, inventory-related features and financial reports | Which edition covers your required inventory workflow and any separate applications? |
Follow one day all the way through
Choose a representative day and ask the provider to show the source records, the accounting entries and the bank reconciliation. A deposit can arrive on a different date from the sales it relates to; the process should explain that difference rather than simply forcing the totals to match.
Include one return, one fee and one correction in the demonstration. Confirm how the supporting reference is preserved and who is allowed to approve a change. Use anonymized or fictional examples when evaluating a system.
Clarify the inventory boundary
Decide which system owns the item catalog, stock movements and inventory valuation. Two applications both changing the same field can create confusing records. Document the direction of each data handoff and the person responsible for reviewing exceptions.
Ask your accountant about the inventory and cost records your business requires. Do not assume a product quantity report is a complete accounting valuation, or that a software connection chooses the correct accounting treatment for you.
- Identify the source for item identity, quantities and costs.
- Confirm how corrections reach the receiving system.
- Inspect the handling of a missing or duplicate import.
- Agree who investigates a mismatch and how it is documented.
Compare the full ongoing commitment
Count the people who need access, the locations involved and the tasks that may require an additional plan or application. Include implementation help, training, support and the effort needed to review exceptions. Ask what happens to your records when the subscription ends.
Request a written description of any proposed POS connection. Confirm product editions, supported records, update timing and recovery from a failed transfer. The provider examples in this article do not establish that those connections are available with Taply.
Make the decision with your accountant
Give each shortlisted provider the same sample workflow and the same questions. Keep a simple record of what was demonstrated, what was only described and what remains unresolved. That makes the comparison easier to revisit.
The best next step is the smallest evidence gap that matters to your store: a reconciliation demonstration, an export sample or a written clarification of a required feature. Treat a polished dashboard as the beginning of the review, not its conclusion.
Frequently asked questions
Are these verified Taply integrations?
No. These are accounting providers to investigate. Confirm any Taply connection, product edition and supported workflow separately before purchasing.
Is the least expensive subscription the lowest total cost?
Not necessarily. Compare the full package, additional services and the work your team must do. This guide does not quote current prices or estimate your business’s costs.
Can I replace my accountant with software?
Software does not determine the right accounting or tax treatment for every business. Involve a qualified professional in setup, controls and review.
